Canada Post has gone on strike again, marking the second strike this year. As a result, shipments to the United States will experience temporary disruptions and delays.

At COOLMAX Vape, we believe in keeping things clear, straightforward, and transparent. Please note that duties and tariffs are not included in your order total. According to our shipping policy, all duties are the responsibility of the customer.

1. Canada Post (Zonos Duty & Tax System) – Assisted Clearance

  • Canada Post now integrates the Zonos Duty & Tax system, which allows us to calculate duties before shipping.

  • When you choose Canada Post, here’s how it works:

    1. The Zonos system provides an official duty estimate in advance.

    2. We collect this duty amount from you before shipping.

    3. Once we receive the customs invoice, we pay the duties directly to customs on your behalf.

  • Every tariff item calculated through Zonos will be shared with you, ensuring full visibility.

  • Duties here follow the Postal rate.

2. UPS – Self-Clearance

  • Prefer to clear duties yourself? We’ll ship your order via UPS.

  • Duties are calculated at the Commercial rate.

  • UPS will contact you directly (phone/email) to arrange clearance and collect payment.

  • ⚠️ Stay alert for UPS notifications to avoid shipment delays.

Important: Some UPS customers reported being charged duties but still having packages returned. If UPS requests duty payment, please do not pay immediately—contact us first. We’ll step in and resolve the issue quickly.

3. Postal vs. Commercial Duty Comparison

To give you clarity, here’s an example showing the difference between Postal (Canada Post/USPS) and Commercial (UPS) duty calculations:

4. Compliance with U.S. Tariff Codes

  • All declared tariff codes fully comply with the U.S. Harmonized Tariff Schedule (HTS).

  • Customers can verify them directly via the official website:

5. Summary – Your Options

  • Canada Post/Zonos (Postal rate): We handle duties upfront, share the full duty breakdown, and pay customs directly. Clean and hassle-free.

  • UPS (Commercial rate): You handle duties with UPS. More control, but requires your direct action.

🛑 Temporary Notice – U.S. Orders(Sept.08)

Due to new U.S. tariff regulations, all courier companies (UPS, FedEx, DHL, etc.) are now required to collect customs duties and taxes before delivery.

📧 Customers must provide a valid email and phone number so that UPS can contact you for customs clearance. Failure to provide correct contact details may result in delivery delays or failed delivery.them

💡 Please note:

  • UPS shipments to the U.S. are “duties/taxes payable upon delivery” (collect on delivery). Customers are responsible for contacting UPS and paying customs duties directly in order to receive their package.

  • COOLMAX VAPE is unable to prepay or handle customs duties on behalf of customers.

  • If an order has already been shipped and the customer refuses to pay duties/taxes leading to rejection and cancellation, the original shipping cost plus the return shipping fee (2x courier charges) will be deducted from the refund.

  • If the customer provides an incorrect address or invalid contact information that prevents delivery, COOLMAX VAPE is not responsible for the failed delivery.

  • Currently, the Canada Post (USPS) system has not fully upgraded for U.S. duty collection. Therefore, Canada Post (USPS) to the U.S. is temporarily unavailable until further notice.

  • During the tariff period, U.S. free shipping threshold is reduced to $99 CAD (pre-tax). If a package is returned due to refusal to pay duties or failure to complete clearance, shipping costs will be deducted before the refund.

 

Free Shipping

  • Canada: Free shipping for orders over $79 CAD.
  • Worldwide: Free shipping for orders over $300 CAD.

 

Free Local Delivery Thresholds (Before Tax)

  • GTA Area: Free delivery for orders over $59 CAD before tax. Order cutoff time is 4 PM on working days. Orders placed before 4 PM will be delivered the same day, and orders placed after 4 PM will be delivered the next day.
  • Montreal Area: Free delivery for orders over $89 CAD before tax. Order cutoff time is 11:30 AM on working days. Orders placed before 11:30 AM will be delivered the next day, and orders placed after 11:30 AM will be delivered the day after next.
  • Quebec City Area: Free delivery for orders over $99 CAD before tax. Order cutoff time is 11:30 AM on working days. Orders placed before 11:30 AM will be delivered the next day, and orders placed after 11:30 AM will be delivered the day after next.

GTA Orders (7 Days a Week)

Eligible areas: Newmarket, Aurora, Whitchurch-Stouffville, Richmond Hill, Vaughan, Markham, Toronto (all districts), Mississauga, Oakville

  • Place orders before 4 PM

  • Courier picks up at 4 PM

  • Delivered by 11 PM the same day
    📝 Tip: Order in the morning, receive in the evening!
    ⚠️ Avoid using office addresses due to evening delivery.

 

Pickering / Ajax

  • Order before 4 PM (Mon–Sun) for same-day delivery

  • Orders after 4 PM → delivered next day


Hamilton / Burlington

  • Tue/Thu/Sun: Order before 4 PM for same-day delivery

  • Other weekdays: Order before 11:30 AM for same-day dispatch
    🕒 Cut-off times vary by courier


Kitchener / Guelph / Waterloo

  • Wed/Sat: Order before 4 PM for same-day delivery

  • Other weekdays: Order before 11:30 AM for same-day dispatch


Brampton

  • Mon/Fri: Order before 4 PM for same-day delivery

  • Other weekdays: Cut-off is 11:30 AM


Montreal/Quebec City Orders

  • Order before 11:30 AM (Mon–Fri)

  • Courier pickup at 12 PM

  • Sent to local Montreal/Quebec City hub and delivered next day
    🗓 Note: Friday orders deliver Monday (no weekend operations)


Local Delivery Reminders

Incorrect Address

  • If a customer provides an incorrect or incomplete address, including a missing unit number for condos/apartments, this will result in a delivery failure.

  • A second delivery will require additional delivery fees.

  • If the courier calls and there is no answer, the delivery will be marked as failed.

Office Addresses

  • Please avoid using office addresses.

  • Our standard local delivery schedule is order cut-off at 4:00 PM, with delivery between 6:00 PM–11:30 PM.

  • Office buildings often close before this delivery window, and we cannot guarantee successful delivery in such cases.

  • Customers with office addresses may leave an order note requesting next-day delivery between 10:00 AM–5:00 PM.

Default Delivery Method

  • For the best shopping experience, if your address is within the local delivery zone, we will automatically select local delivery.

  • If you prefer postal shipping, please select “Shipping” at checkout or leave a note requesting mail delivery.

  • For the fastest delivery, please choose Local Delivery.

GTA Delivery (Greater Toronto Area)

  • Fleet Now: Orders are picked up at 4:00 PM and delivered between 6:00–11:30 PM, available 7 days a week.

  • Flash Bird: Orders are picked up at 11:30 AM and delivered the same afternoon to evening within GTA and nearby areas. Delivery to office buildings is not guaranteed before office closing hours. Service available Monday–Friday.

Montreal & Quebec City Delivery

  • Deliveries are handled by Flash Bird, available Monday–Friday.

  • If you are not at home or unable to sign, you may leave a note at checkout to choose postal shipping instead.

If You Are Not Home

  • If you are not at home during delivery, you may contact the courier to leave the package in a safe location (e.g., concierge, mailbox, or a designated spot).

  • Couriers do not carry packages upstairs.

  • If you require accessibility assistance, please leave a note with your order.

  • The courier will leave the package as instructed and provide a photo confirmation via email or SMS. Once the photo is sent, the delivery is considered successfully completed.

  • Requesting a next-day reschedule after a delivery attempt will incur extra charges.

Package Theft or Missing Packages

  • Once a package is confirmed delivered with a photo, responsibility is transferred to the customer.

  • If a package goes missing afterward (e.g., due to long absences from home or unsuitable drop-off instructions), it will be considered a porch theft.

  • In such cases, we recommend checking your home CCTV, contacting your building concierge, and filing a police report.

Travel Plans

  • If you have travel plans or will be away from home, please order in advance.

  • You may contact us to arrange delivery based on your preferred method and expected return date, or specify your desired shipping date at checkout.

Service Limitations

  • No cash on delivery.

  • No in-store pickup available.

  • Delays may occur during severe weather, holidays, or peak seasons.


Order Processing & Tracking

  • Orders processed within 3–5 business days

  • You will receive a tracking email or SMS once shipped

  • Tracking may take 1–3 business days to update


Address & Delivery Disclaimers

  • Providing a correct address is the buyer’s responsibility

  • Contact us immediately at service@cvdtech.ca for address corrections before dispatch

  • After dispatch, changes must be made through the courier

  • CoolMax Vape  is not liable for delays, lost, or stolen parcels after handoff


Lost / Stolen / Returned Packages

  • If tracking shows “delivered” but you didn’t receive it → contact the courier first, then reach out to us

  • Condo deliveries may go to reception/mailroom

  • Missing unit numbers = failed delivery or return

  • Customer is responsible for return shipping on eligible returns (see our Refund Policy)
